    HRMS Assets Module: Features, Management, and User Guide

    The Assets Module in HRMS allows HR teams to efficiently manage and track organizational assets while maintaining full visibility over asset allocation, assignment, and status. This module is designed to ensure accountability, streamline workflows, and additionally provide comprehensive reporting on all assets across the organization.

    HR Access

    HR users have access only to organizational assets, thereby ensuring centralized and secure asset management. As a result, this restricted access enables HR to focus on managing assets effectively without interfering with other system areas.

    Key Features

    Asset Overview:
    HR can view the total number of assets, available assets, returned assets, and faulty assets at a glance, thereby providing a complete overview of organizational resources.

    Filtering and Search:
    In addition, assets can be filtered by country, category, working condition, and status. This feature allows HR to quickly locate specific assets or groups of assets.

    Asset Assignment:
    Moreover, HR can assign multiple assets to employees within the same territory. The system also records who assigned the asset, to which employee, and when, ensuring a complete assignment history for accountability.

    Tracking and History:
    Finally, HR can easily track which assets are currently assigned, returned, or faulty. A detailed timeline further ensures a clear audit trail for all asset activities.

    Add Assets in HRMS

    1. Login with your HR access role.
    2. Navigate to Organization Assets.

    3. Click on Add New Asset.

    4. Select the Country and fill in the asset details. HR can add multiple assets at once by selecting the country.
    5. After entering all necessary information, click Save.

    6. Once the asset is added, hover over it and click the Assign button to allocate it to an employee in the same country.

    7. In the popup, select the employee you want to assign the asset to. (Note: The system lists only employees who are in the same country as the asset.)
    8. Click Save. The employee will immediately receive an email notification that the asset has been assigned to them.

    View the Details of Any Asset

    1. Login with your HR role.
    2. Go to Organization Assets.
    3. Hover over the asset you want to view and click the View Details button.

    4. The asset page will display all information, including the Asset Timeline, showing its complete history.

    View All Assets Assigned to a Specific Employee

    1. Login with your HR role.
    2. Navigate to Employees.

    3. Select the employee and click View Details.
    4. In the employee profile, click the View All button under Assigned Assets.

    5. This will display all assets currently assigned to that employee.

    Generating Asset Reports

    1. Login with your HR role.
    2. Go to Organization Reports and select Assets.

    3. Generate reports based on your preferred combinations of filters to get insights into asset allocation, usage, and status.

    Overall, this guide provides HR with all the necessary information to manage organizational assets efficiently, ensuring proper assignment, tracking, and reporting across multiple territories.
